MIT Lincoln Laboratory is a designated Department of Defense (DoD) Federally Funded Research and Development Center (FFRDC) and a DoD Research and Development Laboratory. The Laboratory conducts research and development pertinent to national security primarily on behalf of the military Services, the Office of the Secretary of Defense, the Intelligence Community, and other government agencies.
Position Description
Primary responsibility will be to support the Contracting Services Department’s Off-Contracts, Partnerships, and Agreements team and Government Contracts and Compliance team. This involves direct support to Senior Managers, as well as support to both teams. Key duties will include updating and maintaining a number of Excel and Access based internal databases. Access and Excel proficiency is required. Additional tasks include but are not limited to: drafting and coordinating correspondence, managing project submissions through internal databases, supporting project record keeping, preparing presentations, maintaining electronic calendars, distributing approved documents, facilitating/coordinating documentation and creating spreadsheets. The successful candidate will coordinate a bi-weekly project report, and will support the office with answering phones, transmitting and receiving messages via email, maintaining supplies, and scheduling/coordinating travel for candidate interviews, distinguished visitors, and assorted meetings. Additional responsibilities include filing both paper and electronic information, tracking responses and conducting follow-up when necessary, processing expense vouchers, processing electronic procurements, entering timesheets, processing a variety of Laboratory forms, maintaining supplies, and escorting visitors. Strong interpersonal skills and attention to detail are required.
Requirements
Skills/Experience
- Proficiency with Microsoft Office Suite (Word, Access, Excel, PowerPoint and Outlook) is required, familiarity with SAP is preferred.
- Strong administrative support and customer service skills, initiative and ability to interact with all levels of Laboratory personnel are required.
- Ability to prioritize and manage multiple concurrent tasks and demonstrate strong organizational skills.
- Record of success working as part of a team but can perform tasks with minimal supervision.
- Effective written and oral communication skills, excellent interpersonal skills, and appropriate judgement are necessary.
- Ability to obtain and maintain a government clearance is required.
Education
- High School graduate with 3 years of directly related s administrative assistant experience required. Post high school education will count toward experience.
