Position Summary

Are you a detail-oriented and organized professional with a passion for talent acquisition? Join our Human Resources team as a Talent Acquisition Coordinator and play a vital role in connecting top talent with opportunities at MIT Lincoln Laboratory!  Additionally, you’ll be a key player within the EWS team to help managed a large, robust and continuously improving external workforce program.

 

What You’ll Do:
As a Talent Acquisition Coordinator, you will be at the heart of our recruiting efforts for both internal and external talent, ensuring a seamless and positive experience for candidates, hiring teams, and recruiters. Your responsibilities will include:

 

Candidate & Hiring Team Support:
•Coordinate interviews and assist in scheduling, ensuring a smooth and professional experience for all parties.
•Provide general policy and employment information to candidates and employees.
•Assist with pre- and post-employment transactions including onboarding documentation.

Contingent Workforce Hiring Support:
•Act as a cross functional liaison for EWS, communicating between the community, EWS internal team, HR, the suppliers, etc.
•Create robust training presentations in different modalities for community to include into various systems:
oPropose creative ways to ensure the community is learning and that the information does not get stale, along with documentation housing and updates
oEnsure all information from audit, compliance, conversations/ideas from team, MIT LL policies, statutory and regulatory requirements,  etc. are incorporated into trainings and documentation
oWork with Tech Comm to create and update training videos
•Schedule quarterly business reviews and other critical meetings
•Facilitate contract management duties and communication with suppliers (for renewals, etc.), check for insurance requirements, file in appropriate repository
•Outreach to suppliers annually to verify benefits packages.  Review/analyze information to ensure equitable and if any changes have been made, question the suppliers, and bring any anomalies or issues to management
•Run supplier RFP based off previous RFP's; analyze and bring recommendations to EWS leadership
•Organize electronic storage (community page, SharePoint, teams)
oReview and update all documents manually; move to other areas as needed, retire documents as needed, etc.
•Track EWS initiatives via project coordination- keeping team members on task. Meeting on bi weekly basis to ensure movement and reminders.   Recommendation of ways to move activities along, including proactivity in this role and potentially taking on responsibility of tasks where needed
•Vet new suppliers coming in against requirements; update EWS Leadership when viable suppliers are presented.  Provide quarterly updates of supplier list- including metrics on why suppliers are not a fit (skill, facilities clearance, etc.). Ensure to track diversity, small business, etc.
•Consistent and proactive management of the EWS inbox
oCreate methodology for best way for EWS to respond to and keep track of emails
•Review of EWS policies, procedures and all documents once a year to ensure up to date and accurate

Position Summary Cont'

Administrative & HR Support:
•Support HRBP and Talent Acquisition team administratively, inclusive of processing of all employee actions, beginning with hiring and onboarding through the off boarding process.
•Support additional HR and recruiting initiatives as needed.
•Summarize important documents and provide key critical items for Sr. Manager to review (vs. Sr. Manager reviewing all text for every document we release)
•Take notes in all meetings, distribute as required
•Assist in organization of the programs including: documentation housing, assisting with calendars (as needed), keeping other team members on task where you are managing an initiative or function of a project, etc.
•Create innovative solutions to help support team, promote efficiency, streamline processes
•Anticipate needs of the team, including management, and recommend solutions to keep team members on track
•Proactively manage the organization of the EWS team, including coming up with ideas in order to alleviate work from other team members in an administrative nature

 

Qualifications

What We’re Looking For:


•Organized & Detail-Oriented: You have excellent administrative skills, strong attention to detail, and the ability to manage multiple priorities.
•Tech-Savvy: Experience using applicant tracking systems (ATS) and proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
•Strong Communicator: You have great interpersonal and written communication skills, making interactions with candidates and hiring teams seamless.
•Proactive in your day to day work; go above and beyond, anticipating needs of the program and leadership and recommending updated processes and procedures
•HR Knowledge & Experience: A high school diploma (or equivalent) and at least 3 years of experience in an administrative role.


Preferred Qualifications:
•Previous experience supporting recruitment activities within a Human Resources department.
•Familiarity with automated resume tracking systems and HR software as well as vendor management systems
